STORIES / COLLECTION NOTES

Keep a collection journal

Keep track of where a piece came from, where it lives now, and the detail that makes it yours.

Paper, a notebook and a pen surrounded by autumn leaves

Start with a short entry

Choose one object you can reach without unpacking a box. Write its name or a description, when it joined the collection, where it came from, and where you put it. If you remember only the season, write the season. You can add the exact date later if it turns up.

Add a detail a photo cannot tell you. For instance, an entry for a pin might say, “Blue raindrop, autumn swap, Pin board B. We met at the table by the door because the rain had moved everyone inside.”

Use a few consistent labels

Use the same shelf, box, or binder names in your notes and on the physical labels. You might call a box Plush 02 and use Shelf B for a display. Keep condition notes specific, such as a loose thread on the left ear, so you know where to look next time.

If you keep photos, give each piece a short reference such as PIN-014. Use it in the entry and in the photo name so the two can find each other even if you reorganize the folder.

Review one group at a time

When you change a shelf, update the pieces you moved before starting another group. If you trade a piece, add the trade date and keep the old entry so its history stays with the rest of the collection.

Use the single-item record for a keepsake with a longer story. When several pieces share a character, list their formats and current locations on the character index so you can find the group across shelves and boxes.
